Schedule: Flexible hours, Monday through Friday from 8:30 a.m. to 4:30 p.m. Occasionally, students may be asked to work after normal business hours to support other events/dialogues/training.

Job Description:

The Office of Diversity & Inclusion (ODI) provides leadership and expertise for helping the university achieve its diversity, equity and inclusion goals. Guided by social justice principles, we cultivate a vibrant learning and working community for all members. The following units are within ODI: ADA Compliance, Bias Incident Support Services (BISS), Diversity Training & Education (DTE), LGBTQ+ Equity Center, Nyumburu Cultural Center, Office of Civil Rights & Sexual Misconduct (OCRSM), Office of Multi-ethnic Student Education (OMSE), and TerrapinSTRONG.

The ODI student assistant will support administrative, PR/marketing, and business functions of the office under the supervision of the business manager and/or communications officer. There are two positions available. 

General Duties:
Administrative Functions:

  • Provide administrative support to the Office of Diversity & Inclusion.

May provide assistance as follows: 

  • Desk & office coverage
  • Scheduling, delegation and organization of daily/weekly tasks
  • Track status of project/task completion
  • Communicate new information to team members
  • Assist with delivering materials
  • Assist with inventory of office supplies and equipment

 
Front Desk Coverage & Customer Service:

  • Provide backup front desk coverage by greeting guests, answering phones, fielding questions, relaying messages, and other day-to-day administrative functions.
  • Open/close the office when needed.
  • Retrieve mail and printed publications as available.
  • Assist with news tracking (e.g. read Diamondback and other publications and note unit-relevant articles).
  • Keep overall office areas (desk, mailbox, work table) tidy & refill brochures as needed.
  • Update calendars with upcoming events and up-to-date information as requested by staff.

 
Marketing:

  • Support the general needs of ODI in the area of marketing, which may include updating social media (e.g. Facebook, Twitter and Instagram), drafting or designing marketing materials, adding information to ODI’s website and collaborating on projects.

 
Public Relations:

  • Assist with promoting and staffing of ODI events throughout the year, including but not limited to representing ODI at general informational presentations, table displays, distributing brochures and generally providing information about the office and its programs.
  • Assist with outreach to students, student organizations, faculty/staff and community members.
  • Assist with specialized projects such as certificate preparation for awards recognitions
  • Help with set up and staffing for events such as hanging decorations, folding programs, etc.
  • Represent ODI at specialized events such as First Look Fair, open houses, Homecoming, Second Look Fair, etc., with duties such as tabling, greeting, managing set-up or take-down, etc.

 
Other Duties:

  • Attend regularly scheduled ODI staff meetings, 1:1 supervisor meetings, office meetings, and professional development to discuss shift scheduling, new information, and upcoming events.
  • Assist with recording results of evaluations following events.
  • Attend suggested campus multicultural trainings when possible
  • Plan and execute events, programs, workshops, etc.
  • Other duties and projects as assigned

* Some weekend and evening hours (4:30pm-8:30pm) may be required to support trainings/events.

Qualifications:

Minimum Qualifications:

  • Must be a registered undergraduate student in good standing enrolled in a degree program at the University of Maryland, College Park and must be making satisfactory progress toward the degree.
  • Experience interacting with students, faculty/staff and visitors from diverse backgrounds.
  • Proven customer service and leadership experiences.
  • Excellent verbal communication and presentation skills.
  • Excellent communication skills including writing, editing, and excellent interpersonal skills.
  • Basic user of Excel (i.e., graphs, pivots, linkages between tabs, macros).
  • Basic user of Microsoft office products (i.e., Word and PowerPoint).
  • Intermediate user of Google Suite (Drive, Docs, Sheets, Gmail, etc).
  • Working knowledge of social media platforms
  • Basic knowledge of Adobe Creative Suite preferred
  • Ability to work with a wide diversity of stakeholders (internal and external).
  • Ability to work independently as well as under direction.
  • Ability to be flexible, adaptable and work in a team environment.
  • Ability to welcome and greet guests, visitors, staff, and students that visit the office, events, trainings, and workshops.

Preferred Qualifications:

  • Passion for supporting marginalized and historically underrepresented student populations and community members.
  • Have interest in multicultural/diversity matters, social justice issues and other concerns.
  • Experience serving on committee and/or team.

Additional Information:

  • Two positions available. This is a FWS opportunity for an undergraduate student. Some weekend and evening hours (4:30pm-8:30pm) may be required to support trainings/events.

  
Physical Demands:

  • Sedentary work performed in an office environment.
  • Regularly required to travel to meetings, events, etc. both on campus.
  • Regularly required to communicate and exchange information and to use technology/devices.
  • Ability to attend events, meetings, trainings after normal business hours.
  • Ability to manage multiple priorities and competing demands.
  • Ability to set up for events and transport materials. 

Learning opportunities:

For professional development, we offer various internal workshops or trainings on topics related to equity, diversity, and inclusion. Requests for professional development will be considered on a case by case basis w/approval from the unit head is required.

Additional comments: 

We offer training, committee representation, professional development opportunities, and supervision. Students may be assigned to the communications officer or business manager based on the needs of the academic year. Most of the time, students reports directly to the business manager. This position cannot be done remotely.
